Tenant Management

With C.J. Irons CC being one of the few Design, Build & Operate Developers in Pretoria, I was extremely fortunate to be exposed to more than only construction during my career. They are also one of the few Landlords who do all their facilities management in house, as opposed to appointing a managing agent to take care of the day to day operations.

This direct exposure gave me a far better understanding with regards to space planning requirements, and how important base building design is for an efficient office layout. I have built up extensive layout and coordination experience, incorporating the full MEP design into the tenant layouts.

I currently coordinate initial site meetings with prospective tenants to familiarize them with our properties, establish baseline requirements and compile all new rental proposals. I am actively involved in the lease negotiations between our directors and the tenant, and should commercial terms be agreed upon, I generally compile the lease agreements. From there the project becomes my full responsibility. I need to ensure that tenant layouts are finalized as soon as possible, to allow sufficient time for engineering and design to be executed to ensure that our committed occupation dates are achieved. I manage all the on site fitting out work, ensuring that drawings and specifications are issued to our contractors in a timely manner. As the project draws to a close snag lists are compiled and executed prior to handover.

Not only am I responsible for the initial fit-out, but I am also the first port of call if tenants have any issues after they have moved in. I tend to installation defects immediately after occupation, but also general landlord responsibilities that arise during the lease period.

  • 2019 – Two Months / Tau Phalane Incorporated Attorneys Expansion / Lease Negotiations, Design Scope Development, Layout Coordination and Tenant installation for new offices of 337m² (3,600 ft sq).
  • 2019 – Three Months / Dyason Incorporated Attorneys / Lease Negotiations, Design Scope Development, Layout Coordination and Tenant installation for new offices of 1131m² (12,200 ft sq).
  • 2019 – Two Months / The Panagora Group Expansion / Relationship Management, Lease Negotiations, Design Scope Development, Layout Coordination and Tenant installation for new offices of 496m² (5,300 ft sq).
  • 2019 – Two Months / Schutte de Jong Incorporated Attorneys / Acquisition, Lease Negotiations, Design Scope Development, Layout Coordination and Tenant installation for new offices of 430m² (4,600 ft sq).

I have implemented systems to streamline the maintenance reporting procedures by developing an online reporting form and action report which can be managed from the site or the office. This allows the company to act according to the urgency of the request, to do an initial assessment of the requirements prior to issuing a task, and to follow up on progress made by the relevant service provider. This increases efficiency within the organization, provides data for common issues to establish preventative maintenance procedures and maintains a record of turnaround times.
